Invoice to Excel — Extract Line Items, Totals & Dates with AI

Convert any invoice to Excel in about 30 seconds. The AI reads the page the way you do — invoice number, vendor, every line item, and the totals — and puts each value in its own column of a clean .xlsx or CSV.

Everything on the invoice, in the right column

An invoice is three things at once: a header of fields, a table of line items, and a totals block. Text-based converters flatten all three into one stream and guess where the columns break — which is why a blank quantity cell shifts the price into the wrong column. The vision model sees the grid, keeps each row exactly as wide as its header, and leaves empty cells empty.

Invoice header

Invoice number, invoice date, due date, payment terms, PO number, and status flags such as PAID or OVERDUE.

Vendor and customer blocks

Company name, address, phone, email, and website for the vendor plus the bill-to and ship-to blocks — each kept in its own cells.

Line items, one column per field

Description, SKU, quantity, unit price, line total, tax — and wide grids such as XS–6XL size columns on apparel invoices stay intact.

Totals block

Subtotal, tax, shipping, discounts, and grand total, stored as numbers so they reconcile against the line items with a formula.

Coverage

Every kind of invoice, not just the clean ones

If you can read the invoice with your eyes, the AI can put it into a spreadsheet.

PDF invoices from suppliers

Emailed from accounting software, ERPs, or portals. Clean text layer, but the table still needs to become columns.

Scanned paper invoices

Flatbed or feeder scans with no text layer at all — the classic converters return blank cells here.

Photographed invoices

Snapped on a phone at the counter or on site. Slight angle and shadow are fine — the grid is still read correctly.

Multi-page invoices

Up to 5 pages per upload on the web app. Line items from every page are stacked in order in one sheet.

Purchase orders

Same structure as an invoice — PO number, vendor, line items, totals — so they convert exactly the same way.

Quotes & estimates

Compare supplier quotes side by side by dropping each one into the same sheet with matching columns.

How it works

Convert an invoice to Excel in 3 steps

1

Upload the invoice

Drag and drop a PDF, scan, or photo. Up to 20 MB and 5 pages per run on the web app — bulk jobs go through the API.

2

The AI extracts the data

The page is rendered and read visually. Header fields, the line-item table, and the totals block are rebuilt with one column per field.

3

Download Excel or CSV

Get a real .xlsx (or CSV / JSON) that opens in Excel and Google Sheets, or imports straight into your accounting software.

AI invoice extraction vs. the alternatives

Blank cells stay blank — no column shift
Amounts arrive as numbers, not text
Handles photos taken at an angle
Understands header vs. line items vs. totals
Bulk processing via API
Needs manual cleanup afterwards

Manual entry gets every column right — at roughly 5 minutes per invoice and with typos.

FAQ

Invoice to Excel — common questions

Upload the invoice — a PDF, a scan, or a phone photo — to ScanToExcel. The vision AI reads the rendered page, finds the header block (invoice number, dates, vendor, customer), the line-item table, and the totals, and writes everything into a clean .xlsx with one column per field. You get a preview first, then download the spreadsheet. A single-page invoice takes about 30 seconds.

Try it on your next invoice

Upload one page and see the spreadsheet before you decide anything.
